1.  General

This Data Protection Statement applies to all services offered by VMP experiences AG.

This Data Protection Statement does not apply to services offered by other companies or individuals. This Data Protection Statement does not cover the information practices of other companies and organizations who advertise VMP services or any third party operating any website to which the VMP website or other digital asset may contain a link.

The following regulations inform you about the type, scope and purpose of the data collection as well as of the use and processing of personal data by

We point out that the Internet-based data transmission has security gaps and a complete protection against access by third parties is therefore impossible.

2. Website

In general, our website can be used without entering personal data. If personal data (e.g. name, postal or e-mail addresses) is collected on this site, this will be done on a voluntary basis wherever possible. Unless you give your specific consent, this data will not be disclosed to third parties.  Your personal data will only be converted according to the regulations of the European data privacy protection lag (GDPR) as well as the Swiss federal law of data privacy protection (DSG).

Cookies are small pieces of text sent by your web browser by a website you visit. A cookie file is stored in your web browser and allows the Service or a third­-party to recognise you and make your next visit easier and the service more useful to you. 2.2 Use of Google Analytics

This website uses functions of the Google Analytics web service. The provider is Google Inc., 1600 Amphitheatre Parkway Mountain View, CA 94043, USA. Google Analytics uses “cookies”, which are text files stored on your computer to enable analysis of your usage of this website. Information generated by the cookie regarding your use of this website is usually forwarded to a Google server in the USA and stored there.

If IP anonymization is activated for this website, your IP address will be truncated by Google within member states of the European Union or other parties to the Agreement on the European Economic Area. The full IP address will only be forwarded to a Google server in the USA and truncated there in exceptional cases. We offer the possibility to get in touch with us by using a contact form or sending us an e-mail. In this case, the data you provide will only be used to process your request. We will not give this data to third parties.

2.4 The use of Facebook modules

Our website employs components provided by facebook.com. Facebook is a service of Facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA.

Each time our website receives an access request equipped with a Facebook component, the component prompts your browser to download an image of this Facebook component. Through this process, Facebook is informed precisely which page of our website is being visited.

When you access our site while logged into Facebook, Facebook uses information gathered by this component to identify the precise page you are viewing and associates this information to your personal account on Facebook. Whenever you click on the “Like“ button, for example, or enter a comment, this information is transmitted to your personal account on Facebook and stored there. In addition, Facebook is informed of your visit to our website. This occurs regardless of whether you click on a component or not.

Our website and mobile applications can contain links to third party-websites. Please note, that we are not responsible for the collection, utilization, support, transfer or publication of data by third parties. If you use links to other websites, the privacy statement of this website applies. You are advised to read the privacy statement of these websites before entering personal data.

3. Data collection

3.1 Information We Collect

Data we collect are divided into two categories:

“Personal Information” that identifies an End-User as an individual or relates to an identifiable person.  For example, this includes name, organization, title, postal address, e-mail address, telephone number, fax number, social media account ID or other identifiers by which End-Users may be contacted online or offline.  This also may include information that permits End-Users to purchase products or services through the Applications, such as credit or debit card number, or other payment account number, as well as applicable expiration dates and billing/shipping addresses

“Other Information” that does not reveal a person’s identity or directly relate to an individual, on its own or in combination with other information we have collected, such as browser and device information,  operating system, device type, system and performance information, app usage data, information collected through cookies, pixel tags and other technologies, general geographic location, demographic information and other information provided by a person, such as dietary preferences, interests, activities, age, gender, education and occupation.

These data are collected via registration platforms, directly by the affected person or his / her deputy (in this case, the person of which the data are collected, has to be informed about the privacy statement), on our website or directly at meetings and events.

The Contact Profile may contain but is not limited to:

  • name
  • gender
  • date of birth
  • address
  • phone numbers
  • email addresses
  • organization or company of employment and/or job title
  • field of activity and/or interest
  • credit card references/numbers
  • travel destinations
  • travel schedules
  • travel preferences
  • accommodation preferences
  • other communicated preferences
  • passport and visa details

3.2 Purpose of data collection

VMP experiences AG uses the collected data to provide, protect, maintain and improve the overall quality of its services. Data collection is also meant to protect our company and its users. We only collect the minimum data necessary to fulfil following purposes:

a) Bookings: To make bookings, we might need to transfer personal data to various third-party travel suppliers (such as transfer companies, hotels, airlines, travel agencies, car rental companies, online booking tool companies, safety and security tracking providers and computer booking systems) within your home country or in another country where you may be traveling and often also to government bodies for certain destinations.

b) Consolidation of travel data and compliance with travel policy: At the request of a client, VMP or a third party may prepare information reports that summarize and analyze the expenditures per destination, per travel supplier, etc. Such reports which may include certain personal data from your contact profile that are then submitted to the requesting client. Furthermore, at the request of a client, we may report on your compliance with the event compliance policy, budget compliance policy or travel policy of such client and identify any exceptions to the compliance.

c) New services/products: Based on the data given to VMP and with the goal of improving services, VMP may send you additional information related to your current or future event(s).

d) Promotion and marketing: VMP may use your data to personalize your experience on the VMP website, e.g. to send you marketing communications that we believe may be of interest to you, including information about our services, whitepapers, blog updates, case studies etc. VMP may use your data for promotion and marketing purposes for VMP’s current or prospective clients. We may use the data to analyze trends in order to propose other services to our clients.

e) Technical data: VMP, or third parties instructed by VMP, evaluate this data only in an anonymized form and purely for statistical purposes, in order to optimize VMP’s website by increasing user-friendliness, efficiency and safety.

f) Other purposes: VMP may use your data as VMP believes to be necessary or appropriate: (a) under applicable law, including laws outside your country of residence; (b) to comply with legal process; (c) to respond to requests from public and government authorities including public and government authorities outside your country of residence; (d) to enforce VMP’s terms and conditions; (e) to protect VMP’s operations; (f) to protect VMP’s rights, privacy, safety or property, you or others; and (g) to allow VMP to pursue available remedies or limit the damages that VMP may sustain; (h) to allow you to apply for a VMP job offer.

VMP will ask your consent before using data for a purpose other than those that are set out in this Statement subject to mandatory laws.

3.3 Handling of personal data

Personal data collected by VMP experiences AG and their partners are processed in a lawful and fair manner pursuant to Art. 5 of GDPR. Each data is collected for a clear, specified and legitimate purpose and is processed only for that purpose. The data collected is kept to a minimum (data minimization). Any information we collect is generally accurate and up-to-date. We take all reasonable measures to ensure that personal data that is inaccurate is deleted or corrected without delay.

The data will be stored in a form that will allow the data subjects to be identified only for as long as necessary for the purposes for which they are processed. At the maximum, this storage period is five years unless it is longer required by law or by the client.

All data will be processed, through appropriate technical and organizational measures, in a manner that ensures adequate security of personal data, including protection against unauthorized or unlawful processing, accidental loss, unintentional destruction or accidental damage.

3.4 Protection of personal data

VMP experiences AG will take reasonable measures to: (i) protect personal information from unauthorized access, disclosure, alteration or destruction, and (ii) keep personal information accurate and up-to-date as appropriate. We also seek to require our affiliates and service providers with whom we share personal information to exercise reasonable efforts to maintain the confidentiality of personal information about you. Unfortunately, however, no security system or system of transmitting data over the Internet can be guaranteed to be entirely secure.

3.5 Transfer and communication of data

To offer you the expected level of hospitality and to provide you with the best possible service, we may share your personal information with our service providers and other third parties. These include hotels, airlines, transport companies, third-party providers in terms of booking processes and applications, print shops, etc. This list is not exhaustive.

We only work with processors who have reasonable assurance that appropriate technical and organizational measures will be taken to ensure that the processing complies with the requirements of this Regulation and ensures the data protection of the person concerned.

VMP may also transfer your data to a third-party in the event of any reorganization, merger, sale, joint venture, assignment, transfer or other disposition of all or any portion of VMP business, assets or stock (including in connection with any bankruptcy or similar proceedings). Prior to a transfer, third-parties (except for travel suppliers and authorized transfers such as within the EU) are required to sign a data transfer agreement with VMP that requires them to follow the applicable data protection laws.

3.6 Transfer of personal data at an international level

If the data is collected for the purpose of an event occurring abroad, the data will be shared with suppliers in that country. This is done to book hotels, flights and transfers, as well as to fulfill the wishes of the participants in the best possible way. Although there may be differences in the scope of the applicable privacy rights between your country and other countries, VMP experiences AG will take the best possible measures to ensure that your personal information is handled in accordance with this policy. Requests for changes or deletion of the data are forwarded immediately to all suppliers.

If you provide VMP with personal information, your personal data may be transferred to countries whose data protection laws may be different from, and less stringent than, those in your country of residence as set forth above. Your personal data may in particular be transferred to the United States. You are hereby notified that your personal data might be accessed by governmental authorities in such countries (in particular by US authorities).

3.7 Sensitive Information

The term “sensitive information” refers to information related to your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, health, sex life, or sexual orientation, genetic information, criminal background, and any biometric data used for the purpose of unique identification. We do not generally collect sensitive information unless it is volunteered by you. We may use health data provided by you to serve you better and meet your particular needs (for example consideration of allergies).

By completing the relevant questions, you give your explicit consent for the processing of the above-mentioned data of special categories according to Art. 9 (1) GDPR. According to Art. 7 (3) GDPR, you have the right to revoke your consent to the collection of this data at any time. All you have to do is to send an e-mail requesting withdrawal to isabel.vischer@vmp-ag.ch. The revocation of the consent does not affect the legality of the processing carried out on the basis of the consent until the revocation.

3.8 Modification and deletion of personal data

In accordance with applicable data protection laws and regulations, you have a right to request access to, rectification of your Data, or restriction of processing, and to object to said processing, as well as the right to data portability to the extent applicable. Moreover, you have a right to lodge a complaint with a supervisory authority. You have the right at any time to request that your personal data is to be deleted, unless VMP has to keep these data for legitimate business or legal purposes. If possible, it must be ensured that third parties also delete the data of the person concerned. If you wish to delete your data, you can always contact isabel.vischer@vmp-ag.ch.

4. Your duties

You must ensure that the data you provide us with are:

  • correct
  • accurate;
  • current;
  • truthful; and
  • compliant with any applicable laws.

Since VMP will mainly use email communications with you, you are required to notify us of any modification of your email address.

VMP is committed to protecting the privacy needs of children and we encourage parents and guardians to take an active role in their children’s online activities. VMP does not target the digital asset to children less than fourteen (14) years of age or knowingly collect information from children for the purpose of selling products or services.
